1. Event photography and recording notice
The Tampa Bay Black Chamber of Commerce (the “Chamber”) may photograph, film, livestream, or make audio recordings at Chamber programs, meetings, and events. When official recording is planned, the Chamber will make reasonable efforts to provide advance notice through the event listing, registration flow, confirmation message, venue signage, an announcement, or another practical method.
2. Adult attendee permission and release
After receiving notice, an adult who enters and remains in the event area gives the Chamber and its authorized photographers and production providers permission to capture that adult's image, likeness, voice, appearance, and participation in event photography, video, audio, or livestream content, subject to the opt-out process below.
The adult grants the Chamber a worldwide, royalty-free permission to use, reproduce, display, publish, distribute, archive, edit, crop, caption, and adapt those recordings for lawful Chamber purposes, without additional approval or compensation. The Chamber will not knowingly edit a recording to materially misrepresent an identifiable person's words or conduct.
3. Permitted Chamber uses
Recordings may be used in the Chamber's website, social channels, newsletters, email, advertising, press materials, reports, presentations, print materials, educational resources, event recaps, historical archives, and other communications that document or promote the Chamber, its mission, programs, members, partners, or community impact.
The Chamber generally will not identify an attendee by name or attribute a personal statement, endorsement, or testimonial to that attendee without separate permission, unless the attendee knowingly participates in an identified interview, presentation, award, panel, testimonial, or similar recorded activity.
4. How an adult can opt out
An adult who does not want to be intentionally featured should email info@tbbcci.org before the event and identify the request again at check-in. The Chamber may use a designated seating area, visual identifier, photographer instruction, or another reasonable method to honor the request. Attendees should also avoid posed photographs and directly recorded interviews.
The Chamber will make reasonable efforts to avoid intentionally featuring an opted-out attendee. Incidental appearance in a wide crowd, background, or livestream shot may not always be preventable. An attendee may contact the Chamber about an identifiable image published in a Chamber-controlled digital channel; when practical and appropriate, the Chamber will consider removal or replacement.
5. Minors require parent or guardian permission
General event notice and attendance do not authorize the Chamber to intentionally feature an identifiable person under 18 in promotional photography, video, audio, or an interview. The Chamber should obtain a separate written release from the minor's parent or legal guardian before intentionally capturing or publishing that minor as a featured subject.
Parents and guardians are responsible for supervising minors at events and should tell event staff immediately if a minor must not appear in official recordings. The Chamber will make reasonable efforts to avoid identifiable images of minors without the required permission.
6. Withdrawal and previously published material
An adult may withdraw permission for future, controlled uses by sending a clear written request that identifies the person, event, and recording when possible. Withdrawal applies prospectively after the Chamber has a reasonable opportunity to process it. It cannot require recall of printed materials, removal from news coverage or third-party channels, alteration of historical records, or withdrawal of content already lawfully produced or distributed before the request.
7. News media, partners, and attendee recordings
Credentialed news media, venue operators, speakers, sponsors, partners, and other attendees may make their own recordings. Those parties are independent and are responsible for their own notice, permission, privacy, and use practices. Chamber permission does not authorize an attendee to disrupt an event, invade another person's reasonable privacy, record confidential material, or commercially exploit Chamber content or marks.
8. Questions or requests
For an advance opt-out, withdrawal request, accessibility need related to event recording, or question about a Chamber-controlled image, email info@tbbcci.org. Include enough information for the Chamber to locate and evaluate the material.
The Chamber should repeat this notice in event registration materials and at the venue whenever official photography or recording is planned, and should use a signed parent or guardian release for any intentionally featured minor.
