1. Scope and event-specific terms
This policy applies to registrations for events organized by the Tampa Bay Black Chamber of Commerce (the “Chamber”). If an event registration page, invoice, sponsorship agreement, exhibitor agreement, or written confirmation clearly states different cancellation terms, those event-specific terms control for that purchase.
2. Attendee cancellations and refunds
Unless event-specific terms state otherwise, an attendee who sends a written cancellation request at least seven calendar days before the scheduled event start may choose a refund of the registration fee or a credit toward another eligible Chamber event. A refund may exclude a payment-processing charge only when that charge was disclosed as nonrefundable before purchase.
Cancellation requests received fewer than seven calendar days before the event, and registrations for attendees who do not attend, are generally nonrefundable because event commitments may already have been made. The Chamber may consider a documented exceptional circumstance in its reasonable discretion, but an exception is not guaranteed.
3. Registration substitutions
A paid registration may usually be transferred to another eligible attendee from the same organization at no additional charge. Send the substitute attendee's name and contact information before the event begins. A substitution may be limited when an event has identity, age, membership, security, certification, or other eligibility requirements.
4. Events canceled by the Chamber
If the Chamber cancels an event and does not provide a replacement date or substantially equivalent virtual option, the Chamber will refund the event registration fee or, with the registrant's agreement, issue a credit. Refunds are made to the original payment method when reasonably possible. The Chamber is not responsible for travel, lodging, childcare, lost work, or other costs paid to third parties.
5. Rescheduled or materially changed events
If an event is rescheduled, the registration will transfer automatically to the new date. A registrant who cannot attend the new date may request a refund by emailing the Chamber within seven calendar days after the rescheduling notice. If the event moves between in-person and virtual delivery, changes venue within the Tampa Bay region, or otherwise changes materially, the Chamber will explain the available registration options in its notice.
6. Weather, safety, and circumstances beyond control
The Chamber may cancel, postpone, relocate, shorten, or change an event's format when severe weather, public-health concerns, venue conditions, government action, utility or technology failure, security concerns, labor disruption, speaker unavailability, or another circumstance makes the planned event unsafe, unlawful, impracticable, or materially compromised.
When possible, the Chamber will offer a rescheduled date, virtual format, event credit, or refund appropriate to the circumstances and any unrecoverable event commitments. Nothing in this policy limits a right or remedy that cannot lawfully be limited.
7. Sponsorships, exhibitors, and third-party expenses
Sponsorships, exhibitor packages, tables, advertising, and bundled benefits may be governed by a separate agreement. Benefits already delivered, including promotion, creative production, placement, or reserved inventory, may be nonrefundable to the extent stated in that agreement. The Chamber cannot refund or reimburse airline, hotel, transportation, vendor, or other third-party charges; registrants should review those providers' cancellation terms directly.
8. Requests and refund timing
Email cancellation, substitution, or refund requests to info@tbbcci.org. Include the event name, registrant name, organization, registration email, and order or receipt number if available. Approved refunds will be initiated promptly, but the time for funds to appear depends on the payment processor and financial institution.
The date the Chamber receives the written request determines whether it falls within a cancellation window. Keep the sent email and registration confirmation for your records.
